How your information is used

LB Magic UK (Lewis Belcher, Plymouth, United Kingdom) is the data controller for personal information collected through this website and in the course of arranging and delivering bookings. This notice explains what is collected, why, and your rights under UK GDPR.

What we collect and why

Enquiry details — your name, email, phone number, event date, venue, and message, used to respond to your enquiry, check availability, and prepare a proposal. Lawful basis: taking steps at your request before entering a contract.
Booking and payment records — contracts, invoices, and payment history, used to deliver the booking and meet legal accounting obligations. Lawful bases: contract and legal obligation. Financial records are retained for six years as required by HMRC.
Email correspondence — emails you exchange with us are stored in our booking system so we have the full picture of your event. Lawful basis: legitimate interests in managing bookings well.
Marketing — we only send marketing or review-request emails where you have consented or where we may lawfully contact you about your own booking, and every such email includes an unsubscribe link.
Website analytics — we use two measurement tools. Cloudflare Web Analytics sets no cookies and stores nothing on your device. Google Analytics 4 sets its own cookies to recognise a returning browser and measure how the website is used; advertising storage, advertising personalisation and remarketing are all switched off, and IP anonymisation is requested. Neither tool is used to build a marketing profile of you. Lawful basis: legitimate interests in understanding how the website performs.

Cookies and analytics

This website uses Cloudflare Web Analytics, which is cookieless, alongside Google Analytics 4, which sets cookies named _ga and _ga_* in your browser. Those cookies let Google Analytics recognise a returning browser so that visits are not counted twice. They are not used for advertising: ad storage, ad personalisation and remarketing are disabled, and no advertising or marketing profile is built from them.

Analytics measurement runs from the moment you arrive rather than waiting for you to accept a banner. If you would prefer not to be measured, you can block or delete cookies in your browser settings, use any standard tracking protection or content blocker, or install Google’s official Google Analytics opt-out browser add-on. Any of those will stop the measurement without affecting how the website works. Aside from analytics, the only browser storage used is what is strictly necessary to run the site, such as keeping you signed in to the client portal.

Who processes your data

We use carefully chosen service providers to run the business: email delivery (IONOS, Postmark), payments (Stripe — we never see your card details), calendar scheduling (Google), website measurement (Cloudflare Web Analytics and Google Analytics), messaging (Twilio for WhatsApp updates you request), secure document storage, and an AI service (OpenAI) that helps summarise and triage booking-related email. These providers process data only for the services we ask them to provide and under their applicable data-protection terms.

Your rights

You can ask for a copy of the information we hold about you, ask us to correct it, ask us to delete it (where we are not legally required to keep it, such as invoices), and object to or restrict processing. To exercise any of these rights, use the details on the contact page. You can also complain to the Information Commissioner's Office (ico.org.uk) if you are unhappy with how your data is handled.

Retention

Enquiry details for events that do not go ahead are removed or anonymised within two years. Booking records and correspondence are kept for the life of the booking relationship, and financial records for six years after the tax year they relate to.
